Why it matters to your books

One payroll debit hitting the bank is three or four accounting facts: gross wages, employer payroll taxes (an expense), employee withholding (a liability you're holding), and net pay. Booked as a single 'payroll' expense, your labor cost is wrong and your tax liability is invisible.

How to set it up

  1. Gusto → Reports → Payroll journal (or Payroll register) → choose the period → export
  2. Send the export to Fiona, or forward it to your Fiona inbox
  3. She splits gross wages, employer taxes and net pay so payroll isn't one lump

Questions people actually ask

Why does payroll need to be split up?

Because the cash that leaves your bank isn't the cost. Gross wages plus employer taxes is the real expense; the rest is money withheld and owed onward. Booking only the net understates your labour cost.

Does Fiona file or pay my payroll taxes?

No. Gusto does that. Fiona records what happened so your books and your tax set-aside are right.
